Administrative Assistant Promotion - Sony Music

This position will provide full administrative support to Radio Promotion executives at Epic Records. The assistant will help to ensure the efficient day-to-day operation of the Promotion department by successfully accomplishing the following responsibilities:

What you'll do:
o Screen and direct incoming calls
o Coordinate access to and maintain schedules by planning and scheduling meetings, conferences, and teleconferences for the promotion team
o Act as a liaison between both supervisors and a wide array of internal and external contacts including senior management, outside industry contacts, artists, artist managers, internal departments, etc.
o Coordinate travel, entertainment and transportation arrangements
o Prepare business expense reports in a timely, accurate and efficient manner and keep a rolling account of expenses
o Maintain mailing and e-mail lists, databases, files and other assets for the department
o Order and maintain music product, office supplies and tickets for the department
o Update SVP's active record book weekly
o Maintain an active and up to date database for Bi-Annual letters
o Keep track of music download codes
o Pull information daily from, Mediabase, Shazam, , BDS, Music Connect, Apollo, Scuba, Billboard and other sources and create and distribute daily/weekly and monthly reports (including radio recaps) to the department
o Create and maintain artist one sheets in Photoshop
o Organize artist liners, drops, promo images and assets
o Assist with organization of meetings and events including location, set-up, catering, etc.
o Mailing promotional materials to radio stations around the country
o Make sure department is adhering to the standards of conduct and compliance guidelines
o Provide back-up support for other members of the department as needed

Who you are:
o Experience in the music industry or related field
o BA in communications or related field
o Experience with Photoshop
o Ability to make decisions, produce results and think out of the box
o Communication skills; good organizational skills
o The ability to multi-task; detail oriented
o Problem solver, great with people and outgoing
o Hard worker, consistent and reliable
